GuestSo when a supplier says its purpose is “Helping Learning Thrive”, judge the claim against features you can test. Does attendance take seconds or minutes. Do parents have one place to go. Can staff produce a report without a spreadsheet on the side. A modular provider such as Compass Education School MIS Education lets a school switch on exactly the functions that answer those questions. A tagline is only worth the daily experience behind it, so make the demo prove it. Ask to see the routine tasks, not the highlight reel, and let that decide whether the phrase holds up.
Data governance is the first. Publicly funded and diocesan schools are accountable for how records are held, shared and retained. Ask where data is hosted, which certifications the provider holds and how access is restricted by role. A system with clear, role-based permissions and a full audit trail makes it far easier to show that records are handled properly when a governor, auditor or authority asks.
Do not skip references. Ask to speak to schools of a similar size and structure, and ask them the awkward questions: what went wrong during setup, how responsive is support, and would they choose the same system again. The UK and Irish market has several established providers, so you have room to compare rather than settle.
Parent engagement is the third pillar. Families now expect timely notices, simple payments and clear messaging. Look for an MIS that gives parents one app for updates, consent forms and account balances, rather than three disconnected tools that create more questions for the office.
Data mapping comes first. List every type of record your current system holds, from pupil details and attendance to finance and communication history. For each one, agree where it will live in the new platform and what format it needs to be in. This is where problems surface early, because two systems rarely store the same information in exactly the same way. Run a test import on a sample before the full move, check the results field by field, and fix the mapping before you commit real data.
Fourth, ask about price increases over the life of the contract. Is any annual increase capped, and is it tied to a transparent measure such as inflation, or left at the vendor’s discretion? An uncapped renewal clause is one of the more common sources of budget surprise for school business managers a few years into a contract.
